Adding a mailbox to your webhosting service

  knowledgebase  :: network status

This procedure specifies how to create a new POP3 or IMAP mailbox for use with your domainname, hosted on our server. Once done, you'll be able to add the details in the "create POP3/IMAP account" screens of your mail software (such as Outlook or Thunderbird) or device.

  1. allocate username and password (see our selection of password strategies)
  2. note the username and password in a secure location
  3. login to the website control panel
  4. create the mailbox:

    • regular hosting accounts:

      1. click the 'Email Control' tab
      2. next to your domainname, click the 'Mailboxes' link
      3. click 'Add Mailbox'
      4. enter the left-most portion of the email address (eg. info)
      5. enter and confirm the password
      6. change quota if needed
      7. click 'Next Step'

The following details will need to be provided to the client email software:

      1. email address: username@yourdomain.com
      2. POP3/IMAP (inbound) server: hostingaccountname.dns-systems.net (where hostingaccountname is the username given at the top of your welcome letter)
      3. SMTP (outbound) server: if you're using your hosting account to send mail (recommended), then this should be hostingaccountname.dns-systems.net (where hostingaccountname is the username given at the top of your welcome letter)
      4. username: username-yourdomain-com (note the hyphens - the username is your email address with the @ sign and all fullstops replaced by hyphens - for example, if your address was info@yourdomain.com, your username would be info-yourdomain-com)
      5. password: as specified above

      Notes:

      • The mailbox may take up to 15 mins to become active.
      • If your account includes spam and virus protection, you should use the hosted SMTP server.
      • If you receive a message "mailbox already exists" when you try and create a mailbox, but you cannot see it listed in the list of mailboxes, check the Redirects (forwards) screen. It's not possible to create a mailbox with the same name as a redirect.
      • If the address is longer than 30 characters, only the first 30 characters will become the username. If, for example, the address communityservices@blazingfibre.net is used, the username for this address will become communityservices-blazingfibre (30 characters in length).
      • If you're using your ISP's server to send mail (not recommended), please consult your ISP's support pages to obtain the correct SMTP settings.

    • Pro hosting accounts:

      1. under Mail, click Email Accounts
      2. enter the left-most portion of the email address (eg. info)
      3. if on a multisite account, select the correct domainname from the dropdown
      4. enter and confirm the password
      5. change quota if needed
      6. click the Create Account button

The following details will need to be provided to the client email software:

      1. email address: username@yourdomain.com
      2. POP3/IMAP (inbound) server: mail.yourdomain.com (where yourdomain is your your domain name)
      3. SMTP (outbound) server: smtp.yourisp.com
      4. username: username@yourdomain.com (the same as your email address)
      5. password: as specified above

  5. send test email
  6. check mailbox for test email
