How to access your POP3 mailbox with an iPhone

- On your iPhone home screen, tap Settings
- tap Mail, Contacts, Calendars
- tap Add Account
- tap Other
- tap Add Mail Account
- in the Name box, enter your full name (or the name you wish to appear on your emails in the From field)
- in the Address box, enter the email address of the mailbox you wish to login to (for example, to login to the "info" mailbox on the domain "yourdomain.com", enter "info@yourdomain.com" into the Address box)
- in the Password box, enter the password for the mailbox
- tap Next
- select between IMAP or POP (by default, IMAP is selected)
- in the Incoming Mail Server panel:
- in the Host Name box, enter the hostname of your POP3 server - eg. hostingaccountname.dns-systems.net
- in the User Name box, enter the username associated with the mailbox - eg. username-yourdomain-com
- in the Outgoing Mail Server panel:
- in the Host Name box, enter the hostname of your SMTP server - eg. hostingaccountname.dns-systems.net
- in the User Name box, enter the username associated with the mailbox - eg. username-yourdomain-com
- tap Next
- wait for the server details to be verified, then tap Save
Notes:
- The "hostingaccountname" portion of the above server addresses should be replaced by the name of your hosting account (not to be confused with your email account). For example, if your hosting account name is "blazingfibre" and your email address is "example@blazingfibre.net" then you should use the server address blazingfibre.dns-systems.net.
- Those are indeed hyphens in the username. The username is essentially your email address, with the @ sign and all fullstops replaced by hyphens. If your address was joe@bloggs.com, your username would be joe-bloggs-com.
- The iPhone uses "SMTP authentication" by default, however unlike a PC, it does not have the option to "use same settings as my POP3 server", therefore the same username and password must be entered twice - once in the incoming mailserver panel, and once in the outgoing server panel.
- By default, the iPhone leaves the mail on the server, it does NOT delete the mail from the server after it has downloaded it. This can be changed by opening the Advanced settings for the account - in the "Incoming Settings" section, select the desired behaviour under "Delete from server".
- By default, the iPhone never deletes any mail it has downloaded. This can be changed by opening the Settings page, tapping Messages, and then setting the "Keep Messages" option to the desired value.
- You must create the mailbox, using the hosting control panel, before you can log into it using your iPhone.
- For your security, the use of SSL/TLS is recommended. To use this, ensure to specify the following ports:
SMTP port 465 POP3 port 995

How to fix the message "This message has not been downloaded from the server":
- Cause: You may see this message if, while using your iPhone, you try an open an email, usually an older email. This message appears when the email is no longer on the server (the iPhone does not download the contents of the messages it lists, only the "headers"). Messages are normally deleted from the server by your desktop mail software (eg. Outlook), usually after a period (for example, 14 days). If, while using your iPhone, you try and access a mail older than this, you'll see the "has not been downloaded" message instead.
- Solution: Lengthen the period allowed by your desktop mail software, before it deletes old messages. For example, if it is set to 7 days, set it to 14 instead. Note that setting this value too large may cause your mailbox to fill, depending on the size of your quota and the size and volume of the emails that you receive.
How to fix intermittent delivery problem - all mail is received by your phone but only some by your desktop computer:
- Cause: this can happen if your desktop computer is used infrequently, and your phone is set to "delete mail from server". Your phone is deleting the mail before your computer can download it.
- Solution: Lengthen the period allowed by your phone, before it deletes messages. For example, if it is set to 7 days, set it to 14 instead. Or, just set "delete from server" to "never" on your phone, and allow your desktop computer to handle it.
